Digitalisation & Operations

AI & Automation

We are an AI company: automation is not an add-on for us, but the core of what we do. Every business hides hours of manual work that no one will miss — we find it and automate it.

Why now

The head start that became affordable.

What was until recently reserved for large corporations is now within reach for every business: AI that reads documents, writes text, pre-sorts enquiries and connects workflows. What matters is not the technology — but that someone brings it into your day-to-day work in a pragmatic way.

That is precisely our strength: we automate our own companies rigorously — day after day, process after process. We put this experience to work for you: no buzzwords, no detours, with solutions that pay for themselves within weeks.

Hours a week back

Recurring tasks run automatically — your team works with the customer instead of on the filing.

Fewer errors

Whatever runs automatically is never forgotten, misplaced or mistyped.

From our own practice

We only sell what we use ourselves every day — tested in our own business.

Scope of services

From analysis to operation.

Process analysis & automation

We examine your workflows, identify the biggest time drains and automate them step by step — connected to the tools you already use.

  • Analysis of workflows and automation potential
  • Automated workflows: quotes, invoices, receipts
  • Connection of existing tools and systems
  • AI-supported forecasts for sales, demand and capacity
  • Automatic filing and document processing
  • Pre-sorting and answering of enquiries
  • Analyses and reports at the touch of a button
  • Impact evidence after the pilot — the relief achieved is documented transparently

AI in everyday work

AI only becomes valuable once your team uses it safely and correctly. We set up the right tools and provide hands-on training — on your real tasks.

  • AI-supported text, document and data processing
  • Assistants for recurring tasks
  • Tailored AI assistants built on your own company knowledge
  • Microsoft 365 and Copilot integration in your existing environment
  • Team training on concrete use cases
  • Clear guard rails for data protection and quality

Strategy, training & governance

Not every business starts with an automation project. Those who first need clarity, knowledge or binding rules can also book these services from us individually — as a sound foundation before investing.

  • AI strategy & roadmap: analysis of your business model, prioritised use cases with an effort-benefit assessment — as a decision basis for management
  • AI workshops and talks as a half-day or full-day format — bookable on their own, independent of a project
  • Training content as needed: fundamentals, safe use, prompting, use-case discovery within your own business
  • Internal AI guidelines (AI policy) and risk classification of your use cases
  • Advice on the revised Swiss Federal Act on Data Protection (revDSG) and the EU AI Act as a standalone compliance service
  • Operation on Swiss infrastructure or on-premise on your own systems — when data must not leave the building

IT foundations & security

AI needs a clean foundation: secure accounts, protected data and properly managed data protection. We set up this foundation and operate it — so that every automation runs on a reliable basis.

  • Microsoft 365 setup and administration on subscription — including hardening of security-relevant settings
  • Cybersecurity baseline protection: MFA, password manager, backup concept and team awareness — a solid level of protection, not a guarantee
  • Data protection under the revised Swiss Federal Act on Data Protection (revDSG): record of processing activities, privacy policy and data processing agreements
  • External data protection office on subscription — a single point of contact for all data protection questions
  • Digital starter package for founders: domain, email and Microsoft 365 from day one — more on this under Registered Office & Domicile
  • Sensitive legal questions are escalated to specialised lawyers — you receive pragmatic implementation, not legal advice

Our standard

We speak both languages: business and technology.

Automation rarely fails because of the technology — it fails because of processes that no one has properly mapped out beforehand. That is why, for us, every project begins in the business, not in the tool.

Process before technology

Before we configure anything, we map out the current workflow: who does what, in which system, where duplication arises. We only automate what is understood — otherwise you simply speed up the chaos.

Interfaces instead of isolated solutions

We connect your existing systems through open interfaces — accounting, CRM, email, calendar. Each piece of information stays authoritative where it belongs and never has to be maintained a second time.

Data flows compliant with the DPA

For every workflow, we record in writing which data flows into which AI model — and which never leaves the business. Personal data is excluded or pseudonymised wherever possible, and the data processing is governed by contract.

Use cases

Fifty workflows we automate for you.

A selection from our continually growing library, organised by sector. Every workflow follows the same principle: the AI does the groundwork, your team stays in control. And whatever is not listed here, we build for you.

Trades & construction

Whether a joinery, a painting firm or a plumbing business: your margin is made on site — and lost in the office. That is exactly where these workflows take effect.

  • Quote from photo and measurements — a finished quote is created from site photos and notes in hours instead of late evenings
  • Report by voice message — the fitter speaks into the phone, and the daily report writes and posts itself
  • Quotes followed up automatically — every open quote reliably comes back onto the desk instead of being forgotten in a folder
  • Scheduling without paper chaos — assignments, absences and emergencies land automatically in every fitter's plan
  • Material ordering from the report — installed material is recognised and reordered before it runs out on site
  • Time and materials without forgotten hours — every chargeable hour and every small item ends up billable on the QR invoice
  • Reading plans and bills of quantities — items from plans and specifications are extracted instead of retyped
  • Warranty and service appointments under control — maintenance and deadlines flag themselves, including a proposed date for the customer
  • Enquiries sorted instead of missed — enquiries from phone, email and website are captured and prioritised, and none is lost
  • Site documentation without effort — photos and notes are filed against the right project in the dossier, archived as reliable evidence

Hospitality & hotels

Whether a restaurant, a take-away or a small hotel: between service, phone and administration, the time that should belong to your guests slips away.

  • Phone assistant for reservations — takes calls during service, so no table is ever missed again
  • Confirmations against no-shows — reservations are confirmed and reminded automatically, so empty tables become rarer
  • Reviews answered promptly — every Google review receives a personal reply, without evening work
  • Multilingual menu kept current — price and menu changes reach the website and the display within minutes
  • Staff rota from availabilities — the weekly plan is created in minutes instead of on your afternoon off
  • Ordering to match demand — order lists are built from actual consumption and the reservation situation, reducing food waste
  • Same-day social media posts — the lunch menu and weekly highlights almost post themselves
  • Supplier receipts pre-captured — invoices are prepared for accounting, without stacks of paper
  • Guest inbox at the hotel — standard questions about arrival and rooms answer themselves instantly, around the clock
  • Allergens and declarations maintained — the information stays correct with every menu change, without manual updating

Retail & e-commerce

Whether a shop, an online store or a wholesaler: in retail, the routine behind the scenes eats into your margin — we run our own shops and know every one of these tasks.

  • Product data prepared — supplier lists become finished shop copy in hours instead of days
  • Automatic stock alerts — sold-out items are recognised immediately, before customers order what is no longer in stock
  • Competitor price monitoring — competitors' price changes land on the desk each day, neatly bundled
  • Customer enquiries pre-sorted — standard questions about delivery, size and availability answer themselves
  • Returns handled faster — reason for return captured, credit note triggered, without manual retyping
  • Marketplace listings maintained — one product, every channel, without threefold copy-and-paste
  • Newsletter from the range — new arrivals and promotions become a send-ready draft
  • Reordering from sales figures — suggestions are based on numbers instead of gut feeling
  • Incoming invoices processed — QR invoices are read out and filed ready for posting
  • Open items followed up — overdue invoices are recognised and reminded politely

Service providers, practices & firms

Whether a fiduciary office, a practice, a driving school or an agency: most time is not lost on the professional work itself, but on the surrounding admin of appointments, deadlines and documents.

  • Online appointment booking with sync — no more phone ping-pong; the calendar fills itself
  • Reminders against no-shows — significantly fewer empty appointments, and cancellations are automatically refilled
  • Digital client onboarding — powers of attorney, master data and documents complete before the first appointment begins
  • Automatic meeting minutes — meetings are documented before the client leaves the office
  • Deadline and appointment monitoring — tax, VAT and contract deadlines flag themselves instead of being forgotten
  • Documents from templates — contracts, quotes and reports in minutes instead of afternoons
  • Incoming receipts sorted — client receipts are recognised and filed in the right dossier
  • Invoicing run and follow-up — invoices go out on time, and open items follow themselves up
  • Enquiries pre-qualified — only suitable prospects reach the calendar; the rest receive an instant reply
  • Knowledge base with search assistant — the team finds answers itself instead of interrupting the specialist

Back office, finance & management — in every sector

Across all sectors: the back office costs the same hours everywhere. That is why automation takes effect fastest in administration, finance and management.

  • Receipts posted automatically — receipts and invoices land coded in the accounts instead of in a shoebox
  • QR payments reconciled — incoming payments are matched to open items, without manual ticking off
  • Dunning with a light touch — friendly reminders go out on time, and outstanding balances fall noticeably
  • Inbox pre-sorted — emails and letters are recognised, assigned and provided with a draft reply
  • Contracts to hand instead of buried — notice periods and renewals are monitored before they become costly
  • VAT return prepared — the quarterly figures are ready and checked, instead of costing you nerves at the deadline
  • Monthly report at the touch of a button — turnover, liquidity and open items come as an automatic overview
  • Meeting minutes that write themselves — minutes and a task list emerge from the meeting in minutes
  • HR administration eased — contracts, references and absences run from templates, filed in line with the DPA
  • From order to QR invoice — the finished invoice emerges from the quote without double entry

Concrete solutions

Automation you can get your hands on.

Chatbot for website & WhatsApp

Answers standard questions, qualifies enquiries and books appointments — no lead is lost, even in the evenings and at weekends.

AI phone & voice agent

Takes reservations, orders and appointment requests around the clock — even when no one can get to the phone.

Quote turbo for tradespeople

A clean quote is created from photos, measurements and keywords in minutes — instead of hours after work.

AI support on subscription

Ongoing maintenance, optimisation and new automation ideas on a monthly subscription — your business stays ahead, without your own IT staff.

Content assistant in your own voice

An AI assistant trained on your language and expertise: you supply the idea, it supplies the finished piece — a few minutes instead of an hour per text. Including a brand voice guide: your tone and terminology as a documented style guide and a validated AI language profile. On request, our marketing team handles distribution.

AI workshops for your team

Half-day or full-day format, bookable independently of a project: fundamentals, safe use, prompting and use-case discovery — afterwards your team works with AI on its own.

How it works in practice

A customer enquiry, guided fully automatically.

The same principle also carries quotes, reservations or receipt flows — where your greatest lever lies is something we work out together in a consultation; when it comes to figures and receipts, the automation feeds directly into our fiduciary team.

1

The enquiry arrives

Whether by email, website form or WhatsApp: every enquiry lands in the same inbound channel. Nothing sits in a personal mailbox, and nothing gets lost while someone is on holiday.

2

The AI prepares

The AI categorises the request, checks the customer history in the CRM and drafts a reply in your tone — including the appropriate documents and proposed appointments.

3

You approve

A team member checks the draft and approves it with a single click — or adjusts it in seconds. No message leaves the building without a human OK.

4

The follow-up runs by itself

Filing in the right dossier, a CRM entry, a reminder after a defined deadline: what used to be left undone now happens reliably in the background.

Work it out for yourself

What is hidden in your workflows?

Three sliders, one transparent calculation: estimate how much manual work arises in your business — and see what automating it would be worth over a year.

Your potential per year

How we proceed

Pragmatic, not a monster project.

1

Analysis

We identify the workflows with the greatest savings potential — on site or remotely.

2

Pilot

The most effective workflow is automated first — quickly visible, quickly measurable.

3

Rollout

Whatever proves itself, we roll out to further workflows — stage by stage.

4

Enablement

Your team learns to use and develop the solutions itself.

Who it is for

Automation for businesses without their own IT department.

Trade businesses

Quotes in minutes instead of at the weekend: the draft quote is created from measurements and an item catalogue, and scheduling shows free capacity at a glance — more time on site, less in the office.

Hospitality

Reservations, orders and supplier enquiries come together in one place and are automatically confirmed or prepared — even in the middle of service, when every hand is busy.

Fiduciary & consulting offices

Incoming documents are automatically classified and assigned to the right mandate, and deadlines from official mail are recognised and scheduled — professional oversight stays with the case handler.

Growing SMEs

When the back office can no longer keep pace with the order book: automation absorbs the growth in volume before you have to advertise the next position — and makes the new role more productive if it comes after all.

Frequently asked questions

About AI & automation.

Is it worthwhile for a small business too?

Especially there. The smaller the team, the more valuable every hour saved. Many of our automations pay for themselves within a few weeks — we prioritise rigorously by impact.

Do we have to buy new software?

Usually not. Wherever possible, we build on your existing tools and add only what is missing — preferably with proven, cost-effective solutions.

Can we start small — with a workshop or a strategy instead of a project?

Yes. Our workshops, talks and the AI strategy with a roadmap are bookable on their own, entirely without an automation project. Many businesses start exactly this way: the team learns fundamentals, safe use and prompting on their own tasks in a half-day or full-day workshop, while management receives a prioritised roadmap with an effort-benefit assessment for each use case. What is implemented afterwards — and whether with us — is your decision.

Can our AI solutions be operated in Switzerland?

Yes. On request, we run your AI solutions on Swiss infrastructure or directly on your own systems (on-premise). This is particularly sensible when professional secrecy, industry requirements or internal policies demand that data not leave the country — or the building. The documentation of data flows and the contractually governed data processing under the DPA continue to apply unchanged.

What if the team is sceptical?

Understandable — which is why we start with a workflow that noticeably relieves rather than threatens. Once the first automation gives time back, acceptance follows of its own accord.

Do we lose control over the replies sent to our customers?

No. We set up every workflow on the approval principle: the AI drafts, a human decides. Only once a workflow has run flawlessly for weeks and you expressly wish it, will a clearly defined part — such as pure acknowledgements of receipt — be sent automatically. You define which messages those are, not us.

What happens if the AI makes a mistake?

There are guard rails for that: the AI works only with sources you have approved, sensitive matters such as complaints, legal questions or price commitments are automatically escalated to a human, and every step is logged. This means it is always traceable what the AI proposed and when — and a mistake remains a draft in the review window, not a document that has been sent.

Is our data secure — and does it stay ours?

Yes. For each workflow we document which data goes to which model and which does not leave the building, we conclude data processing agreements with the AI providers in accordance with Art. 9 of the DPA, and we choose only configurations in which your inputs are not used to train the models. Your customer and business data remains your property — fully exportable, even in the event of a later exit.

When is automation not worthwhile?

For tasks that arise rarely, for very small volumes — and always when the workflow itself is still unclear. Automating a chaotic process only makes it faster chaos. In such cases we tell you so openly in the initial consultation and first put the workflow in order — automation comes afterwards.
